Accounts Receivable Specialist
Position Summary
The Accounts Receivable Specialist is responsible for managing invoicing, cash application, and business-to-business collections to ensure timely and accurate receipt of customer payments. This role requires strong attention to detail, intermediate Excel skills, and the ability to communicate professionally with customers regarding outstanding balances.
Key Responsibilities
- Apply daily customer payments, including checks, ACH, wire transfers, and credit cards, to customer accounts accurately and timely
- Research and resolve cash application discrepancies, short pays, and unapplied cash
- Perform B2B collections activities via phone and email to achieve targeted DSO and aging goals
- Prepare and distribute customer statements on a regular basis
- Monitor accounts receivable aging and follow up on past-due balances
- Investigate billing disputes and coordinate with internal departments to resolve issues
- Maintain accurate customer records and collection notes in the accounting system
- Reconcile accounts receivable subledger to the general ledger as needed
- Assist with month-end close related to accounts receivable
- Provide excellent customer service while maintaining firm but professional collection practices
Required Qualifications
- 2+ years of accounts receivable experience
- Intermediate proficiency with Microsoft Excel (VLOOKUP/XLOOKUP, pivot tables, filtering, basic formulas)
- Hands-on experience with cash posting and payment application
- Proven experience in B2B collections and customer follow-up
- Experience preparing and sending customer statements
- Strong attention to detail and organizational skills
- Ability to communicate effectively with internal teams and external customers
- Comfortable working in a fast-paced, deadline-driven environment
Preferred Qualifications
- Experience with account reconciliations
- Bachelor's degree in Accounting, Finance, or a related field
